Automated rent reminders are the engine behind the Rent Collection Hub. Once configured for a tenant, they fire every month without you doing anything — sending your tenant a professional reminder with your payment links a set number of days before rent is due. This page gives you a complete view of every reminder in your portfolio and lets you make changes quickly when you need to.
Reminders are fully configurable per tenant — different timing, different payment methods, on or off independently. If a tenant moves out the reminder stops automatically. If rent amounts change you update them in the tenant assignment and the next reminder reflects the new amount automatically.

When reminders send
The system runs a daily check every morning. For each active reminder it calculates how many days until the tenant’s due date. When that number matches the reminder timing you set — 3 days, 5 days, whatever you chose — the reminder email fires automatically. You don’t have to do anything and there’s nothing to turn on each month. What the tenant receives
The reminder email shows your name as the sender and comes from noreply@myrentalpayments.com — Underground Landlord is never mentioned. The email shows the tenant’s rent amount, their property address, and a clickable pay button for every payment method you’ve enabled for that tenant. It’s clean, professional, and mobile friendly. Deduplication — no double sends
The system tracks every reminder that has been sent. Even if something unusual happens — a server restart, a plugin update, a manual cron trigger — it will never send the same reminder to the same tenant twice in the same month. Each reminder fires exactly once per billing cycle. |
After the reminder sends
Once a reminder goes out the system continues monitoring. On the due date, if no payment has been logged, you receive a landlord alert — email for Standard and Pro tier members, SMS for Portfolio and AI Management members. If rent remains unpaid, Day 1, Day 3, and Day 5 escalation alerts fire automatically with increasing urgency. When reminders stop
Reminders stop automatically in two situations. First, when a tenant’s move-out checklist is completed in the Tenant Hub — the system marks all reminders for that tenant as disabled instantly. To edit any reminder go to the full Tenant Hub, find the tenant row, and click the 💰 Rent Reminder button. The setup panel slides open and you can update anything — timing, payment links, or the on/off toggle. Changes take effect immediately and will apply to the next reminder cycle. |
You can set reminders anywhere from 1 to 14 days before the due date. The right timing depends on your tenants and how they manage their finances. Here is a guide to help you decide.

| 5 days | Tenants who need more lead time | Good if your tenant gets paid on a schedule that doesn’t line up perfectly with rent due dates. |
| 7 days | Tenants with a history of late payments | A full week gives chronically late tenants maximum time to prepare. Pairs well with a firm late fee policy. |
| 10-14 days | High rent amounts or irregular income tenants | For tenants who need to plan ahead — self-employed, commission-based income, or very high rent amounts. |
Each reminder email includes a clickable pay button for every payment method you have configured for that tenant. The more options you give tenants, the fewer reasons they have not to pay. Here is how each method appears in the reminder email.
