Step by Step — How to Set Up a Tenant Reminder

Make sure your tenant is added to the system

Your tenant needs to exist in the Tenant Hub with an active lease assignment before you can set up reminders. If they’re not there yet, add them first.

Find the tenant in your Tenant Hub

Go to your Tenant Hub and find the tenant you want to set up. They’ll appear as a row in the tenant table. You’ll see their name, property, email, and status.

Click the 💰 Rent Reminder button on their row

Each tenant row has a green 💰 Rent Reminder button on the right side. Click it and a setup panel slides open directly below that tenant — no new page, no new tab.

💡 If you don’t see the button, make sure you’re on the Tenants tab inside the Tenant Hub admin area.

Choose how many days before the due date to remind

Pick between 1 and 14 days. Most landlords find 3 days works best — enough notice for the tenant to act, close enough to feel relevant. You can always change this later.

Add your payment links

Paste in the payment links or handles for each method you accept. Leave blank any methods you don’t use — they won’t appear in the tenant’s reminder email.

Enable and save — you’re done

Flip the reminder toggle on and hit Save Reminder Settings. The button on the tenant row turns bright green and says 💰 Reminder ON so you can see at a glance it’s active.

✅ What happens next — automatically:
→ Tenant receives reminder X days before their due date every month
→ You get notified if no payment is logged on the due date
→ Escalating alerts fire at Day 1, 3, and 5 if still unpaid
→ Reminders stop automatically if tenant moves out

❓ Common Setup Questions

What if my tenant doesn’t have an email address on file?
Reminders can’t be sent without a tenant email. Go to the full Tenant Hub, open the tenant’s profile, and add their email address. Then come back and set up the reminder.

What will the tenant see as the sender name?
The email shows your name (from your account) as the sender display name, and sends from noreply@myrentalpayments.com. Underground Landlord is never mentioned anywhere in the email.

Can I set up different payment methods for different tenants?
Yes — payment links are configured per tenant, not per account. You can offer Stripe to one tenant and Zelle + Venmo to another. Each tenant only sees what you set up for them specifically.

Do I have to use all 6 payment methods?
No — leave blank any methods you don’t accept. The tenant only sees payment buttons for methods you’ve filled in. Even just one method works fine.

What happens when a tenant moves out?
When you complete a move-out checklist in the Tenant Hub, reminders for that tenant automatically stop. No manual cleanup needed.

Can I change the settings after I save?
Yes — click the 💰 Rent Reminder button on the tenant row at any time to update payment links, change the reminder timing, or turn it off. Changes take effect immediately.
