Add Your First Buyer
Go to Buyer List โ Click "+ Add Buyer"
Fill in:
- Name & Email (required)
- Budget Range (e.g., $50k - $150k)
- Location Preferences (e.g., "Shelby, Charlotte, Gastonia")
- Property Types in Tags (e.g., "Single Family, Duplex")

How It Works
The system automatically scores every buyer against every deal. Higher score = better match!
Match Score Breakdown (0-100 points)
Deal price is within buyer's budget range
Property type matches buyer's tags (e.g., "Single Family")
Deal location matches buyer's preferences
Matches buyer's notes (e.g., "3+ bed, 2+ bath")
Buyer has closed deals before (proven closer)
Contacted within last 3 days (avoid spam)
Match Quality Labels
Perfect fit! This buyer definitely wants this deal.
Strong fit. Worth sending the deal.
Might be interested. Optional to send.
Tips for Better Matching
- โ Be specific with budgets: "$70k - $120k" works better than "$50k - $200k"
- โ Use multiple locations: "Shelby, Gastonia, Charlotte" catches more matches
- โ Add property types to tags: "Single Family, Duplex, Triplex"
- โ Include bed/bath in notes: "Prefers 3+ bed, 2+ bath"
- โ Update after each closed deal: System learns which buyers actually close

๐ Getting Started
I just upgraded to Premium/Combo. Where do I start with the Wholesale CRM?
Follow this 5-step quick start:
- Add 3-5 buyers with full details (budget, location, property types)
- Add your first deal using the Calculator, then save it
- Check the Pipeline page - your deal is now in "New Leads"
- View Matched Buyers - see who wants this deal
- Email the matches - one click sends to all of them
That's it! You'll immediately see the power of smart matching. Then explore expense tracking and P&L reports.
Do I need to use ALL the features or can I just use parts of it?
Use whatever helps YOUR business! Many wholesalers start with just the Pipeline (visual deal tracking) and Buyer Matching. Then they add Expense Tracking when tax season approaches. The P&L Reports are most valuable monthly or quarterly. Pick what solves your immediate pain points, ignore the rest until you need it.
I already use a spreadsheet for my deals. Why switch to this?
You don't have to choose! Many members use both at first. But here's what the Pipeline does that spreadsheets can't:

๐ Pipeline Questions
Can I edit a deal after I've moved it to a new stage?
Yes! Click "View" on any deal card, then click "Edit Deal" to update price, address, property type, etc. The stage won't change unless you move it again. You can edit deals at any stage - even after they're closed.
Can I move deals backward in the pipeline?
Absolutely! Sometimes sellers get cold feet or need more time. Just drag the deal back to any previous stage. Real life isn't always linear - the system is flexible.
What happens to deals in the "Dead" column?
They stay there for your records but don't affect your active pipeline stats. You can still view them, see why they died (check your notes), and even revive them by dragging back to an active stage if the seller comes back.
Why is my deal card showing red/yellow/green colors?
This is urgency tracking:
- ๐ข Green (0-3 days): Fresh, no action needed yet
- ๐ก Yellow (3-7 days): Follow up soon
- ๐ด Red (7+ days): STUCK! Take action now
This prevents deals from falling through the cracks. When you see red, make that call today.
The Pipeline doesn't work on my phone - the drag and drop doesn't respond
On mobile, you need to LONG-PRESS first:
- Press and HOLD your finger on the deal card for 0.5 seconds
- The card will "lift" (you'll feel it)
- Now drag it to the new column
- Release to drop
Regular taps won't work for dragging. You need the long-press. Also make sure you swipe left/right to see all columns first!
Can I add notes or tasks to deals in the pipeline?
Not yet in the Pipeline view itself, but you can:
- Click "View" on the deal card to open the full deal page
- Add notes in the deal financials section
- Track follow-up dates and seller conversations

๐ฏ Buyer Matching Questions
Why don't I see any matched buyers on my deals?
The system needs buyer data to match. Check:
- โ Have you added buyers? (Go to Buyer List)
- โ Did you fill in their budget range? (Required for matching)
- โ Did you add location preferences? (City, state, or ZIP)
- โ Does your deal have a price and location?
The more complete your buyer profiles, the better the matching works. Even 3-5 buyers with good data will show matches!
What if a buyer wants multiple property types?
Add all types to their Tags field separated by commas:
Single Family, Duplex, Triplex, Small Multi-Family
The system will match them to ANY deal that fits one of those types. Same goes for locations - list all cities/areas they buy in.
How does the match scoring work? Why is one buyer 95 and another 45?
The system scores 0-100 points based on:
- 30 pts: Deal price within buyer's budget
- 25 pts: Property type matches their preferences
- 25 pts: Location matches (city/state/ZIP)
- 10 pts: Bed/bath preferences match
- 10 pts: Active buyer bonus (closed deals before)
- -5 pts: Contacted recently (prevents spam)
A 95 score = nearly perfect match. A 45 score = possible interest but not ideal. Focus on 70+ scores first.
Can I manually email specific buyers instead of "all matches"?
Yes! When you click "View Matches" on a deal, you'll see individual "๐ง Email" buttons next to each buyer. Click those to email just one buyer. Or use the "Email All Matches" button at the bottom to send to everyone at once.
Do the emails come from my email address or Underground Landlord's?
They come from YOUR email address! When buyers reply, it goes directly to you - not to us. The system just sends on your behalf using WordPress email. Make sure your site has proper email setup (WP Mail SMTP plugin recommended) so emails don't go to spam.
I have 50+ buyers. Do I have to enter them all manually?
For now, yes - but you only do it once. Plan for 2-3 minutes per buyer if you're filling in all details. Most wholesalers start with their top 10-20 buyers, then add more over time. Future update: CSV import is coming so you can bulk upload from a spreadsheet!
๐ณ Expense Tracking Questions
What's the difference between deal expenses and business expenses?
Two different types:
Deal-Specific Expenses: Costs tied to ONE property (marketing for that deal, inspection fee, earnest deposit). Track these in the Pipeline โ Click deal โ Add financials.
General Business Expenses: Ongoing costs not tied to one deal (software subscriptions, gas/mileage, LLC fees, office supplies). Track these on the Expenses page.
Both show up in your P&L Report, but separately. This gives you accurate per-deal profitability.
Can I upload receipts with my expenses?
You can add a receipt URL (link to Dropbox, Google Drive, etc.) in the notes field. Future update: Direct receipt upload is coming soon!
How do I categorize expenses for my accountant?
Use the 7 built-in categories:
- Marketing & Advertising: Direct mail, ads, bandit signs
- Software & Tools: Subscriptions, data services
- Travel & Mileage: Gas, vehicle costs, lodging
- Education & Training: Courses, coaching, books
- Legal & Professional: LLC fees, attorneys, CPAs
- Office & Utilities: Rent, phone, internet
- Other: Everything else

Can I edit or delete expenses after I enter them?
Yes! On the Expenses page, click the menu (โฎ) on any expense โ Edit or Delete. Changes update your monthly totals and P&L reports automatically.

What's included in my P&L report?
Revenue Section:
- All assignment fees from CLOSED deals
- Shows each deal with address and fee
- Only counts deals closed in your selected date range
Expense Section:
- Deal-specific costs from closed deals
- General business expenses (all 7 categories)
- Breakdown by category with percentages
Summary Metrics:
- Total Revenue, Total Expenses, Net Profit
- Profit Margin % (profit divided by revenue)
- Number of deals closed
- Average profit per deal
When should I run P&L reports?
Recommended schedule:

Where do my P&L report emails go?
They're sent to the email address associated with your WordPress account. Check your spam folder if you don't see it within a few minutes. The email includes a formatted report you can forward to your accountant or save as PDF.
Can I export my data to Excel or CSV?
Not yet directly, but you can:
- Copy data from the P&L report and paste into Excel
- Email yourself the report and forward to accountant
- Take screenshots for quick records

๐ฅ Buyer Management Questions
How do I delete a buyer or deal?
Click the menu button (โฎ) on the buyer/deal card and select "Delete". Warning: This cannot be undone! All related data (emails sent, match history) will be lost. Consider marking them inactive instead if you might need the history later.
Can I track which buyers actually close deals?
Yes! When you move a deal to "Closed", select the buyer who purchased it. The system automatically:
- Updates that buyer's "deals closed" count
- Gives them bonus points in future match scoring (active buyer bonus)
- Shows them as proven closers to help you prioritize
Over time, you'll see which buyers are serious vs tire-kickers.
Should I add buyers I haven't closed deals with yet?
Absolutely! Add EVERY buyer in your network - even if they haven't bought from you yet. The smart matching helps you send them deals they actually want, which increases your odds of closing. Even cold leads become hot when you send them their perfect property.

Does this work on my phone?
Yes! Every page is mobile-optimized:

Pro tip: Add the site to your phone's home screen (Safari โ Share โ "Add to Home Screen") for app-like experience!
Can I use this offline?
The site works offline for viewing data you've already loaded, but changes won't sync until you reconnect to the internet. When you're back online, everything syncs automatically.
I'm getting errors or pages aren't loading. What should I do?
Try these steps in order:
- Clear your browser cache: Ctrl+Shift+R (or Cmd+Shift+R on Mac)
- Try a different browser: Test in Chrome, Safari, or Firefox
- Check your internet: Make sure you're connected
- Log out and back in: Sometimes sessions expire
- Contact support: If still broken, we'll fix it ASAP

I'm a Basic member. Can I try the Wholesale CRM before upgrading?
No, the Wholesale CRM is Premium/Combo only. But you CAN:
- Use the Deal Calculator (free for all members)
- View the User Guide to see all features
- Read this FAQ to understand the value
When you upgrade to Premium or Combo, all wholesale features unlock immediately. Many members upgrade just for the Pipeline + Buyer Matching - the time savings pays for itself in one closed deal.
If I downgrade from Premium to Basic, what happens to my data?
Your data stays in the system but you lose access to view/edit it. If you upgrade again later, everything is still there - buyers, deals, expenses, all of it. Nothing gets deleted. You just can't access wholesale features on Basic tier.
